Job Summary

This is a busy and varied role for someone who is comfortable working closely with a senior executive and managing a range of priorities. You will help the Managing Director stay on top of meetings, correspondence, follow-ups, documents and other business commitments. You will also liaise with clients, partners, suppliers and other stakeholders on their behalf.

The role requires someone who is dependable, discreet and able to work with minimal supervision. You should be someone who notices what needs to be done, follows things through and is comfortable taking ownership

Job Description

Our client is a premium lifestyle and concierge business offering personalized services, experiences and solutions to its members. As the business grows, our client is looking for an experienced Executive Assistant to provide direct support to the Managing Director and help keep the day-to-day running of the business organized and on track.


Key Responsibilities


 ·       Manage the Managing Director's diary, meetings, appointments and business commitments.


·       Coordinate meetings, calls, travel and other business arrangements.


·       Prepare meeting materials, presentations, reports, correspondence and briefing documents.


·       Manage and follow up on correspondence and action points as required.


·       Keep track of deadlines, commitments and outstanding matters.


·       Coordinate with clients, partners, suppliers and other stakeholders on behalf of the Managing Director.


·       Ensure the Managing Director is well prepared for meetings and key engagements.


·       Maintain organized records, documents, contacts and business information.


·       Support the Managing Director with projects, research and other business priorities.


·       Handle confidential information with discretion and sound judgement.


 What We Are Looking For


 ·       Relevant Bachelor's degree in Hospitality, Communications, Business, Law or a related field.


·       Previous experience as an Executive Assistant, Personal Assistant, Executive Office Assistant or in a similar role.


·       Experience supporting a Managing Director, CEO, business owner or senior executive will be an advantage.


·       Excellent written and verbal communication skills.


·       Strong organizational skills and attention to detail.


·       Good judgement and the ability to handle confidential matters professionally.


·       Strong follow-through and the ability to manage several priorities at once.


·       Confidence dealing with senior professionals and external stakeholders.


·       Good working knowledge of Microsoft Office and other business productivity tools.


·       A proactive, practical approach to work and a willingness to take ownership.


 We are looking for someone who is professional, switched-on and reliable.  You should be comfortable in a fast-moving environment and able to adapt when priorities change. You will need to communicate well, use your initiative and know when something needs attention without always being asked.


 Most importantly, we are looking for someone the Managing Director can rely on to keep things moving, stay ahead of deadlines and handle information with complete discretion.
